DEVELOPMENT OF DOCUMENT STORAGE AND RETRIEVAL SYSTEM: A CASE STUDY OFFICE OF THE PRESIDENT SILPAKORN UNIVERSITY SANAMCHANDRA PALACE CAMPUS.

Abstract

The objectives of this paper are to research, 1) Development of document storage and retrieval system. A case study: Office of the President Silpakorn University Sanam Chandra Palace campus. 2) To evaluate the user satisfaction collection and recruitment systems, a case study Office of the President Silpakorn University Sanam Chandra Palace campus. There are two groups of research 1. Administrator of Silpakorn University (2 People) 2. Campus Division Office of the President Silpakorn University (26 People) the sample selection for this research was based on the selection of a specific sample (Purposive sampling) Development of collection and recruitment systems. A case study Office of the President Silpakorn University Sanam Chandra palace campus. To help reduce the problems of the agency, such as document storage. Document Search Loss of document and document storage systematically.

The researcher designed the research into 2 parts: 1) Developing a system to store and retrieve documents, documents, case studies, Division of the Office of the President, Silpakorn University using PHP to develop the user interface and MySQL database as an online storage source and Using standard metadata techniques Used as a tool to categorize documents in the document storage system and report documents 2) Assessment of user satisfaction, document collection and retrieval systems, case studies: Division of University Affairs Office of the President, Silpakorn University, Sanam Chandra Palace campus from a total of 28 people, using multiple sampling methods, divided into 2 groups of users: system administrators and system users. Statistics used in data analysis include value Average (x̄) and standard deviation (SD)

The research found that the system administrator is very satisfied with the system level. The average (x̄) is 4.21. And have standard deviation (SD) Equal to 0.25 and users of the system are very satisfied with the system at the average level (x̄) That is equal to 4.03 And have standard deviation (SD) Equal to 0.38

งานวิจัยนี้มีวัตถุประสงค์เพื่อ 1) พัฒนาระบบจัดเก็บและค้นคืนเอกสารงานสารบรรณ กรณีศึกษา : กองงานวิทยาเขต สำนักงานอธิการบดี มหาวิทยาลัยศิลปากร วิทยาเขตพระราชวังสนามจันทร์ 2) ประเมินความพึงพอใจของผู้ใช้ระบบจัดเก็บและค้นคืนเอกสารงานสารบรรณ กรณีศึกษา : กองงานวิทยาเขต สำนักงานอธิการบดี มหาวิทยาลัยศิลปากร วิทยาเขตพระราชวังสนามจันทร์ กลุ่มตัวอย่างที่ใช้ในการวิจัยครั้งนี้มี 2 กลุ่ม ได้แก่ ผู้บริหารระดับสูง จำนวน 2 คน และบุคลากรสายสนับสนุนวิชาการ จำนวน 26 คน และในการเลือกกลุ่มตัวอย่างสำหรับการวิจัยในครั้งนี้ใช้วิธีจากการเลือกกลุ่มตัวอย่างแบบเจาะจง ( Purposive sampling) งานวิจัยนี้จัดทำขึ้นเพื่อช่วยลดปัญหาต่าง ๆ เช่น การจัดเก็บเอกสาร การค้นหาเอกสาร การสูญหายของเอกสาร และการจัดเก็บเอกสารอย่างไม่เป็นระบบ ของหน่วยงาน 6 หน่วยงาน ได้แก่ 1. งานสารบรรณ 2. งานการเจ้าหน้าที่ 3. งานประชาสัมพันธ์ 4. งานคลัง 5. งานพัสดุ 6. งานแผนงานและวิเทศสัมพันธ์ ในกองงานวิทยาเขต สำนักงานอธิการบดี มหาวิทยาลัยศิลปากร วิทยาเขตพระราชวังสนามจันทร์ ผู้วิจัยออกแบบการวิจัยออกเป็น 2 ส่วน คือ 1. การพัฒนาระบบจัดเก็บและค้นคืนเอกสารงานสารบรรณ กรณีศึกษา กองงานวิทยาเขต สำนักงานอธิการบดี มหาวิทยาลัยศิลปากร วิทยาเขตพระราชวังสนามจันทร์ จากนั้นสร้างระบบด้วยโปรแกรมในการพัฒนาระบบรูปแบบ Web Application โดยใช้ภาษา PHP สำหรับพัฒนาส่วนติดต่อผู้ใช้ และฐานข้อมูล MySQL สำหรับเป็นแหล่งเก็บข้อมูลออนไลน์ และใช้เทคนิคมาตรฐานเมทาดาทาเป็นเครื่องมือในการจัดหมวดหมู่เอกสารในระบบ ผู้ใช้ระบบสามารถจัดเก็บเอกสาร ค้นคืนเอกสาร และออกรายงานข้อมูล 2. การประเมินความพึงพอใจของผู้ใช้ระบบจัดเก็บและค้นคืนเอกสารงานสารบรรณ กรณีศึกษา : กองงานวิทยาเขต สำนักงานอธิการบดี มหาวิทยาลัยศิลปากร วิทยาเขตพระราชวังสนามจันทร์ จากกลุ่มตัวอย่างจำนวน 28 คน ใช้วิธีการสุ่มตัวอย่างแบบเจาะจง แบ่งเป็นกลุ่มผู้ใช้งานจำนวน 2 กลุ่ม คือ ผู้ดูแลระบบ และผู้ใช้งานระบบ โดยสถิติที่ใช้ ในการวิเคราะห์ข้อมูล ได้แก่ ค่าเฉลี่ย (x̄) และส่วนเบี่ยงเบนมาตรฐาน (S.D.)

ผลการวิจัยพบว่า ผู้ดูแลระบบมีความพึงพอใจต่อระบบระดับมาก ค่าเฉลี่ย (x̄) เท่ากับ 4.21 และมีค่าส่วนเบี่ยงเบนมาตรฐาน (S.D.) เท่ากับ 0.25 และผู้ใช้งานระบบมีความพึงพอใจต่อระบบระดับมาก ค่าเฉลี่ย (x̄) ที่ได้เท่ากับ 4.03 และมีค่าส่วนเบี่ยงเบนมาตรฐาน (S.D.) เท่ากับ 0.38
